FeaturesScheduling and dispatch

The crew knows where to be before you're awake.

Jobs book themselves into slots you actually have. The crew gets the address, the time, the colors and the scope by text at 6:30am. Nobody starts the day with a phone tree.

Run the job

What the calendar handles

One schedule that the website, the crew and the customer all read from.

See it in action

How it runs

  1. 01

    Capacity model

Crew size, drive time and buffer days define what a day can hold.

  2. 02

    Assignment

Booked work drops onto the crew that can actually reach it.

  3. 03

    Dispatch

Address, scope, colors and photos push to the crew's phone at 6:30am.

  4. 04

    Recovery

Weather or a no-show reshuffles the week and notifies both sides.

What you get

  • Auto-booking with buffers

Customers only ever see slots you can actually take, with your travel and dry-time buffers built into the rules.

  • Crew dispatch by text

Address as a map link, start time, room-by-room colors and scope notes — sent at the hour you pick.

  • Day, week and capacity views

See how full a week is before you promise a start date, instead of counting jobs in your head.

  • One-tap reschedule

Move a job and the customer's confirmation, the crew text and the calendar all move with it.

  • Multi-crew assignment

Assign painters per job and per day, with a running view of who is on what through the week.

  • Weather-aware exteriors

Flag exterior jobs that need dry days so a rain week does not quietly stack three starts onto one Monday.

The long version

The morning phone tree is the most expensive fifteen minutes in a painting business. Three painters calling to ask where they are going, what color, and whether the customer will be home — every one of those calls is a job that has not started yet, multiplied by every crew, every day, all year.

PainterOS turns the schedule into the single source of truth. When a customer books, the visit lands in a slot you actually have open, with the buffer days you told it to respect — no double-booking the exterior that needs a dry window, no stacking two starts on a Monday. The day view shows capacity, not just appointments, so you can see whether Thursday can absorb one more job before you say yes on the phone.

At the hour you choose, dispatch goes out. Each painter gets a text with the address as a map link, the start time, the color assignments per room, and the scope notes from the job card. Changes propagate: reschedule with one tap and the customer, the crew and the calendar all update together, with the customer's confirmation re-sent automatically.

In practice

A Wednesday, hour by hour

Blue rows are automatic. Only two rows need you — both after the job is booked.

Honest scope

What it will and won't do

What the software handles, and what still needs you in the room.

It does

One calendar the site, the crew and the customer all read
Buffer days and capacity respected on automatic bookings
Text dispatch with everything the painter needs to start
Reschedules that update every party at once

It doesn't

GPS tracking your painters through the day
Payroll, timesheets or certified payroll reporting
Route optimization across dozens of daily stops
Fleet, equipment or subcontractor compliance management

Questions

Scheduling and dispatch, answered plainly.

What painters actually ask on the first call.

Can customers really book themselves without double-booking me?

Yes, because they can only see slots the rules allow. You set working hours, how many starts a day you can absorb, and buffer days around exteriors and travel. If a slot violates any of that, it never appears.

Do my painters need an app?

No. Dispatch is a text message. Anyone with a phone can read the address, tap the map link and see the colors. Crew members who want the full job card can open a link, but nothing requires an install.

What happens when it rains?

Exterior jobs can be flagged as weather-dependent. Move them with one tap and everything downstream — the customer's confirmation, the crew text, the following week's capacity — updates together instead of you making six phone calls.
