How the fee works
One rate, defined precisely
Pricing pages get vague right where the money is. Here is the whole definition, in the same words as our customer agreement.

What exactly is the 1% charged on?+
The invoice principal we collect for you — the labor and materials you billed. It is not charged on sales tax, and it is not charged on permits or materials you pass through at documented cost. On a $6,800 repaint, the fee is $68.00.
When is it charged?+
When a payment settles. The fee comes out of that payment, so you never get a separate bill and never pay before the money lands. Deposits and progress payments are each charged 1% as they settle, so a job split into a deposit and a balance costs the same 1% overall as one lump payment.
What if the customer wants to pay me by cash or check?+
PainterOS is a digital-payments system, so every payment on a job runs through the checkout — card, Apple Pay, Tap to Pay on iPhone or bank payment — and every payment is charged the same 1%. That is deliberate: one path for the money is what keeps the job record, the invoice, the tax numbers and your books clean, instead of a spreadsheet of cash you have to remember. It starts at booking: the homeowner puts a $25 deposit down to hold the appointment, credited to their job, so the payment method is set before you ever load a ladder.
What happens on a refund?+
If you refund a payment, we return our 1% on the refunded amount. We do not keep a fee on money you gave back.
What about chargebacks?+
A chargeback is a card-network dispute, so the disputed amount plus the network's dispute fee come back out of your balance the same way they would with any processor. Our 1% on the disputed amount is returned to you. We help you assemble the evidence — signed estimate, change orders, photos, message history — but the card networks, not us, decide the outcome.
Is the credit-card surcharge legal where I work?+
It depends on where you are. Surcharging credit cards is permitted in most U.S. states, but Connecticut, Massachusetts and Puerto Rico prohibit it outright, Colorado caps it at 2%, and New York requires the total credit-card price to be posted before checkout rather than added at the end. Card-network rules add their own conditions: the surcharge can never exceed your actual cost of acceptance, Visa caps it at 3% and Mastercard at 4%, it must be disclosed up front and itemized on the receipt, it can never be applied to debit or prepaid cards, and your acquirer needs 30 days' written notice before you switch it on. Our checkout applies the applicable state rule and the lower of your cost and the network cap, and you can switch surcharging off entirely and absorb processing yourself. So who pays card processing?+
Where surcharging is allowed and the customer chooses a credit card, the cost is disclosed to the cardholder at checkout instead of coming out of your margin — so $0 comes out of your check on those payments. It is a pass-through, not a discount: the cost still exists, it is just paid by the person choosing the card. On debit, in the jurisdictions above, or with surcharging switched off, processing is a normal cost you absorb. That is why the calculator has a switch for it.
Are there any other fees?+
No per-seat fees, no setup fee, no onboarding fee, no monthly minimum, no annual contract, no cancellation fee. Standard third-party costs still exist and are shown as they occur: card-network dispute fees, and returned-payment fees on a bounced bank payment. If we ever add a fee, existing customers get written notice before it applies.
How fast do I get paid?+
Payout timing depends on your payment processor's schedule and verification status. Payments are processed by our payments partner; funds move to your own bank account and we never hold your money as a float.
Am I locked in? Can I get my data out?+
It is month to month with nothing to cancel — with no subscription, walking away costs you nothing. Your customers, estimates, jobs, invoices and photos export to CSV and PDF on demand, and we will hand you a full export if you leave.
What if I'm doing serious volume?+
At high collected volume a flat 1% can add up to more than a stack of fixed subscriptions — the calculator above shows you exactly where that crossover sits for your numbers, and we would rather show it than hide it. If you are past it, talk to us about volume terms before you switch.
Does the price change once I'm on it?+
The rate you sign up on is the rate you keep unless you agree to a change in writing. Nothing on this page is a substitute for the customer agreement and the payments partner's terms you accept at signup — those govern.
